How do I update my SurveyMonkey dataset?

If you have collected more responses or have made changes to your survey content (see the editing rules), download the latest file from SurveyMonkey. Follow these steps below to select the correct ZIP file to load your updated SurveyMonkey responses to iCharts.

  1. Log in to your SurveyMonkey account. Click on the survey you need to update.

  1. Click Analyze Results for the survey (denoted by a pie chart).

3. Click Download Responses.

  1. A few settings must be made for your file. Select All Responses for the Download Type. Choose the Spreedsheet Format with Expanded Columns and Numerical (1-n) cells.

 

  1. Once you've made the aforementioned settings, scroll down and click Request Download. You can choose to send the file via email to yourself as an option. If you don't enter your email address, you will be directed to the SurveyMonkey Downloads.

  1. Wait a few moments for your file to download. When it is complete, the Action column for your survey will read Download. Click on Download and save the file. 

  1. Log in to your iCharts account. Click on Load Dataset, then Load Survey Data and Update Existing File. Select the dataset that needs to be updated and locate the ZIP file in your local files. 

 

The iCharts gallery will display with a Pending status for your dataset. Your dataset is queued for loading and may take a couple of minutes. Refresh your browser after a few moments or click on All Datasets to check the status. When the dataset is loaded successfully, the Pending message will no longer display. (If there was an error in the loading process, it gets removed from the gallery.)

You will also receive an email confirmation when your dataset has been successfully loaded and updated. Charts you have already created based on your data are automatically updated. You do not need to recreate or save the charts again but you are now ready to start creating new charts from your updated SurveyMonkey file. 

Notes on Downloading or Uploading SurveyMonkey Data:

  1. You cannot use the summary report and upload to iCharts.
  2. You have to select the following download settings within SurveyMonkey: All Responses Collected as the Download Type > Spreadsheet Format > Expanded Columns > Numerical Value (1-n) Cells.
  3. It is important that you load the ZIP file and not the individual Excel or CSV file. SurveyMonkey uses ZIP format to include multiple excel files in case the number of columns exceed 255. In order to ensure that all columns are loaded, you need to use the ZIP file. 
  4. MAC users should ensure to load the proper ZIP file. The first level of the ZIP file has two folders - CSV and Excel. This is the correct file. See below. Some MAC users have an extra folder and the actual data will be in the second level folder. You may need to modify the ZIP file to conform to the SurveyMonkey format. The below image is an example of the ZIP file opened from a MAC. This file will result in error.

Troubleshooting

Your SurveyMonkey file may have failed to load for one of the following reasons. 

  1. You have not used the correct ZIP file. You can only load a specific ZIP file from SurveyMonkey. Please refer to the steps above. 
  2. Do not use “ - “ in your response choices, row choices or column choices. SurveyMonkey uses this combination as a separator for row and column options in matrix questions in the downloaded file.
